ESA is seeking an experienced administrative professional for the role Executive Administrative Assistant.

In this key role, the Executive Administrative Assistant will you will provide the full range of office management, administrative, clerical and scheduling services for the Senior Directors of the Regulatory Center of Excellence.About the JobTheExecutive Administrative Assistantwill report to the Senior Director, Engineering & Regulations and will support the various directors of the Regulatory Center of Excellence.

You will manage action items for management and play a key role in preparing for presentations, committee meetings, and communications to various stakeholders.

You will also participate with management in maintaining budgets, including forecasts, setting priorities for the department, maintain and updating project lists and status, and scheduling workloads using various software programs such as Excel, Outlook, SAP and purpose-built tools for the ESA.Job Type: Full-time, PermanentBenefits:

You have knowledge of the business processes related to budgeting, communication techniques, presentations, projects, office management, pay and expense reports, business organization, travel and accommodation, space and facilities planning.Demonstrated ability to undertake initiatives with an optimistic, proactive and results-oriented approach.You have experience supervising and coaching staff in a unionized environment and the ability to communicate business needs and decisions with peers and staff, while maintaining the ability to keep confidential information.You have experience supervising and coaching staff in a unionized environment and the ability to communicate business needs and decisions with peers and staff, while maintaining the ability to keep confidential information.A typical day in this role might include: Make all arrangements for meetings involving company staff, external clients, or customers, i.E., contracting meeting space, catering, and travel.Perform research and data gathering activities to acquire and assemble information and materials to meet requirements for presentations or committee meetings, and prepare draft communications and presentation material.Participate with management in setting priorities, scheduling work projects, project management and project coordination, providing status updates of work and target dates, scheduling meetings and outlining impact of new or conflicting assignments or events.Interface with internal and external contacts to determine actions, issues and priority of response, including routing direct inquiries or communications to appropriate staff.Act as the official custodian for confidential and general files, and establish and maintain the retention schedules.Perform administrative services for the submission of projected costs for budgeting, and assist in the development and final preparation of financial statements and/or budgets.Manage expenses; including completing invoice payments and expense reports, monitoring budget expenses, project costs, and MasterCard transactions, completing journal transfers and investigating and sourcing cost-effective purchasesPerform other duties as required.Skills & Qualifications:EducationHigh School Graduation.

University Degree or College courses in office administration is an asset.Requires knowledge of English and technical writing to prepare the necessary reports and to effectively communicate and carry out the work.

Experience:
·At least 3 years in an office administration setting.
