Job Description Bilingual (English and French) Administrative BookkeeperPurposeThe role will be responsible for full cycle bookkeeping duties, preparation of bank reconciliations, payroll, accounts payable, accounts receivable, tax filings (HST, WSIB, T4, installments), and general office assistance as required.This role is a key administrative role for the company and includes other administrative duties as detailed below.

The role likely breaks down to around 35% bookkeeping, 25% sales administration, 25% office administration and 15% other, including some HR functions.Responsibilities will include:Financial:A/P Code and key accounts payable in QuickBooks Online (“QBO”)Key and verify invoicesCreate PO’s as requiredInvestigate any discrepanciesA/R Maintain current A/R Invoice customers as appropriateInvestigate, adjust and resolve any outstanding balancesProcess any payments receivedPayroll Work with Ceridian Powerpay to produce bi-weekly payrollPrepare and submit any required government returns or benefits submissions including EHT, WSIB, Taxes, Benefits, PD7ABanking Bank account and credit card reconciliations to QBOCredit card paymentsMaintain cash flow reportsConverting money between international currenciesProcessing expense reportsWorking with Accountant as requiredOffice Organization and Administration:
· HiringO Help with job descriptions, job postingsO New employee orientation§ Review all new hire paperwork with new hires, distribute employee handbook and policies
· PurchasingO Maintain purchasing and stock of all office supplies.O Purchase vehicle plate stickers
· Administrative FunctionsO Responsible for filing various information on a regular basisO Ensures that customer contracts and files are maintained in good order in the various physical and digital systems requiredO Document administrative procedures, processes, and policiesO Assist with organization of company events:§ This includes company celebration and periodic group activitiesO Occasionally answer and route phone calls to appropriate personO Track staff vacation timeO All other administrative duties as reasonably requiredRequired Skills & ExperienceYou needto be highly organized and enjoy working with numbers.

The successful candidate is required to have the skills and experience below from the start and contribute positively to the overall team.Skills and experience include:Bachelor’s Degree or equivalent work experience in a similar roleMinimum 3 years of working with QBO.

Being a Certified Professional Bookkeeper (“CPB”) is preferredMinimum of 3 years working with Microsoft Office, Microsoft SharePoint and the O365 online suite of softwareExperience with at least one of: pipedrive, salesforce, Siebel or equivalent online CRM toolStrict attention to detail in technical specifications and written communicationPerformance driven, fast paced and energeticStrong in math and accountingKeyboard and data entry skillsExcellent written and verbal communications skillsAbility to manage your time and multiple projects, highly organized with great attention to detailAble to multitask and complete tasks with minimal supervisionAbility to speak French and English fluently is requiredExperience working in an engineering office is an assetFamiliarity with ISO 9001 or other quality systems is an assetTSI is a professional engineering company and is registered with the Canadian Controlled Goods Directorate, and accordingly the candidate must be a Canadian citizen, or Permanent Resident and will require security screening (finger printing and police checks) and naturally have the highest level of integrity.While COVID-19 restrictions are in place this role will likely be performed from home but as soon as possible this position will be located at our office in Stouffville, Ontario.TSI offers life, disability, and health benefits packages to qualifying employees.

Salary will be commensurate on experience and ability but likely starts at $20/hour.

Someone with office manager and bookkeeping skills would be paid higher.
