Job DescriptionThe PositionNAHS has a high standard expectation for this position, following the guidelines set forth by BC Housing.Reporting to the Manager, Housing Operations and in accordance with Nanaimo Affordable Housing Society (NAHS) mission, strategic direction, principles and policies, the Tenant Coordinator’s primary responsibilities are to administer all tenant matters as they relate to the Residential Tenancy Act including tenant interactions, notices and correspondence, tenancy agreements, rent calculations and arbitrations; and to provide other related duties as assigned.

Specific responsibilities based on key competencies are to:Ensure tenants are abiding by the terms of their rental agreements, including paying rent and following all building rules and regulationsResolve tenant issues and complete required reporting; ensure efficient and effective administrative processes compliant with the Personal Information Protection Act and Residential Tenancy Act of British ColumbiaVisit NAHS managed properties and interact with tenants to establish onsite presence and maintain positive relationships; promote tenant rapport with all NAHS divisionsMaintain a high level of customer satisfaction and ensure tenant concerns have been addressed in a timely and satisfactory manner; create workorders for maintenance issuesManage tenant relationships to increase understanding, ensure effective communication, and minimize complaintsProvide backup and support to other Housing Operations team members as neededMaintain up-to-date tenant and emergency contact information; prepare correspondence,emails, letters and notices to tenants as well as informational signage; ensure timely communications delivery/posting to all related tenants/propertiesMonitor, receive and record rent payments; conduct regular (annualand as required) rent reviews, calculate rent increases confirming rent-geared-to-income (RGI) within BC Housing guidelines; ensure all tenant payments are collected from all office drop off locationsPrepare all required documentation and effectively participate in arbitration hearingsCommit to well-being of self and others through adherence to WorkSafeBC regulations and NAHS safety procedures; recognize and appropriately respond to emergency situationsNOTE: the successful candidate will assist the Housing Coordinator for the first several months in their role including reviewing tenant applications, scheduling appointments, completing background checks, performing income verification and other related duties.What You BringAn enthusiastic, helpful, positive energy directed towards carrying out a diverse range of responsibilities.

Flexibility, adaptability and capacity to positively meet the challenges and changes of a growing organization.Preferred qualificationsEDUCATION AND EXPERIENCEO Post secondary degree or diploma plus a minimum of 3 years’ experience working with tenants; or an equivalent combination of relevant education and work experienceO Demonstrated experience working directly with vulnerable populations including seniors and persons with mental and physical disabilities, addictions issues and low literacyO Computer proficiency using MS Office 365 and property management softwareKNOWLEDGE AND ABILITYO Strong customer service orientation: advanced interpersonal communication, problem solving, conflict resolution and organizational abilitiesO Working knowledge of housing operations, tenant communications, data and document managementO Working knowledge of the Personal Information Protection Act and Residential Tenancy Act of British ColumbiaO Knowledge of safe work practices, relevant WorkSafeBC requirements and responsibilitiesOTHER REQUIREMENTSO Valid driver’s licence, access to reliable vehicle and clean driver’s abstractO Criminal Record/Vulnerable Sector verificationO Occasional on-call work evenings and weekends on a rotational basisO First Aid Certification an assetCompany Description Nanaimo Affordable Housing Society (NAHS) is a non-profit charitable organization that develops and operates inclusive housing communities appropriate to supporting tenants in achieving and maintaining stability and wellbeing.Founded in 1990, NAHS believes housing is a basic human right and that tenants should be treated with respect and dignity.
